Title: Contracts Administrator

Schedule: M-F 8am-5pm (6-3, 7-4 flexible)

Required Skills & Experience
* Bachelor’s degree; coursework in business administration, contract law, or related field preferred
* Strong skills in Microsoft Office, communication, negotiation, and organization
* 2+ years of relevant experience (recent grads with internship experience considered)
* Strong attention to detail and ability to manage high-volume contract workflows
* Experience working with cross-functional teams and communicating with executives
* Working knowledge of contract law, terms and conditions, subcontract agreements, and industry-specific paperwork
Nice to Have Skills & Experience
* Certificate programs in contract management a plus
* Industry experience in Oil & Gas, Construction, or Public Works strongly preferred
Job Description
The Contract Administrator will support all divisions by managing vendor and subcontractor contracts, Master Services Agreements, Purchase Orders, Terms and Conditions, Public Works contracts, maintaining accurate records within internal systems, and ensuring compliance with company and legal standards. This role requires coordination across procurement, operations, and finance teams and involves frequent interaction with personnel at all levels.
Key Responsibilities:
* Contract Administration:
* Set up and maintain contracts in the internal system (Vista by Viewpoint)
* Manage 1,600+ vendor and subcontractor contracts (with their team members), including 10–12 new setups per week
* Perform ongoing contract maintenance, including tracking milestones and safety audits (quarterly)
* Execute client POs, including those for ranch surveys and public works clients (e.g., PG&E, state/federal agencies)
*Execute contracts: subcontract, PO, terms and conditions, Master Services Agreements
* Systems & Tools:
* Use ERP system (Vista), DocuSign, Excel, and MicroStrategy for contract management and reporting
* Log into client systems for setup and maintenance tasks
* Cross-Functional Collaboration:
* Liaise with procurement to perform audits and support contract compliance
* Work closely with operations and finance teams to resolve contract-related issues
* Act as the main point of contact across California divisions; coordinate with other regions (e.g., Mid-Con) as needed
* Contract Oversight (Not Legal Drafting):
* Review subcontract agreements, purchase orders, MSA terms and conditions
* Ensure understanding of legal implications and customer-specific terms
* Not responsible for writing contracts but must understand different contract types and industry-specific requirements
